Calgary Elite Volleyball Association (CEVA) ("we," "us," or "our") is committed to protecting your personal information. This Privacy Policy explains how we collect, use, and safeguard information when you visit our website at cevavolleyball.ca (the "Site") or register a team for one of our tournaments.
We comply with Alberta’s Personal Information Protection Act (PIPA) and Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

Information you provide directly:
- Team name, team captain’s name, email address, and phone number when you register a team for a tournament
- Jersey order details (sizes, quantities) where applicable
- Any details you include in an email or message you send us
Information collected automatically:
- Browser type, device type, and operating system
- Pages visited, time spent on pages, and referring URLs
- IP address and approximate location (city/region level)
This automatic information is collected by our hosting and security provider (Cloudflare) for the purposes of running the Site, preventing abuse, and basic traffic measurement.
3. How We Use Your Information
We use your information to:
- Operate the tournament you have registered for — pool assignments, scheduling, scoring, results, and logistical communications
- Respond to inquiries you send us
- Improve our website and understand how it is used
- Comply with legal obligations
By registering a team or contacting us, you consent to us using your information for these purposes.
We do not sell, rent, or trade your personal information to third parties.
4. Third-Party Services
Our website uses the following third-party tools, each governed by its own privacy policy:
- Cloudflare — website hosting, security, content delivery, and bot/DDoS protection. Cloudflare processes technical data such as IP addresses and request metadata in accordance with its privacy policy.
- Google Drive (optional) — tournament photo galleries are hosted as shared Google Drive folders that we link to from the Site. If you click through to view photos, your interaction with Google Drive is governed by Google’s privacy policy.
We do not use Google Analytics or any advertising tracking on this Site.
5. Cookies
Our Site uses a small number of cookies that are strictly necessary for the Site to function (for example, keeping an admin signed in) or that are set by Cloudflare for security purposes. We do not use analytics, advertising, or cross-site tracking cookies.

6. Data Retention
We retain personal information only as long as necessary for the purposes described in this policy, or as required by law.
Team registration information (team name, captain contact details, jersey orders) is retained for the duration of the tournament and for up to twelve (12) months after, to support post-tournament communications, refunds, statistics, and dispute resolution. We may retain anonymized historical results (team names, standings, and scores) indefinitely for record-keeping.
7. Your Rights
Under PIPA (Alberta) and PIPEDA, you have the right to:
- Access the personal information we hold about you
- Correct inaccurate information
- Request deletion of your information (subject to legal retention requirements)
- Withdraw consent for non-essential uses at any time

8. Security
We take reasonable technical and organizational measures to protect your information from unauthorized access, loss, or misuse, including HTTPS encryption, access controls on the admin area, and reputable hosting providers. However, no method of transmission over the internet is 100% secure.
9. Children's Privacy
Tournament teams may include players under the age of 18, but team registration is performed by an adult team captain. We do not knowingly collect personal information directly from children under the age of 13. If you believe we have inadvertently collected such information, please contact us so we can delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will reflect any changes. Continued use of the Site after changes are posted constitutes acceptance of the updated policy.
11. International Visitors
This Site is operated from Canada. If you are accessing it from outside Canada, please be aware that your information may be transferred to and processed in Canada, where privacy laws may differ from those in your jurisdiction. By using this Site, you consent to that transfer and processing.
